Getting Started

Go to the Contacts tab in your dashboard and click Import CSV. Your file needs columns for: name, email, phone, and lead_type. Supported lead types are: new_lead, past_client, sphere, referral, and other. Contacts are automatically enrolled in their matching sequence after import.
NurtureFlow comes with 3 built-in cadences matched by lead type: New Lead, Past Client, and Sphere. Each cadence is a series of email and/or SMS touchpoints spaced out over days or weeks. When you import a contact, they are automatically enrolled in the cadence that matches their lead_type. You can also create custom sequences with any step timing and channel mix.
Yes. Open any contact's detail view and use the Enroll in Sequence option to pick a different cadence. You can also change a contact's lead_type and re-enroll them.
The Dashboard is your follow-up command center. It shows upcoming follow-ups due today, recent activity, hot leads needing attention, and quick stats on sent emails and SMS. Click any follow-up to send or skip it with a single tap.

Scripts & Workflows

The Script Library (📚 in the nav) contains pre-written email and SMS scripts organized by category: new leads, sellers, buyers, open houses, and database nurture. Click any script to preview the full copy, then deploy it as a new sequence you own entirely. Scripts cover both email and SMS channels.
Absolutely. Once you deploy a script it becomes a regular sequence in your Sequences tab. You can edit the subject line, message body, send timing (delay days), and channel (email or SMS) for any step. Changes apply to future follow-ups — already-scheduled messages are not affected.
The library includes workflows for: New Lead Fast Response, Seller Follow-Up, Buyer Nurture, Open House SMS Follow-Up, Database Nurture, SMS Re-Engagement, Listing Announcement, Home Valuation, and more. Use the channel filter (All / Email / SMS) to find the right format.

SMS & Email

Go to the SMS tab (💬) and open Settings. Enter your Twilio Account SID, Auth Token, and phone number. Once connected, any sequence step with channel=SMS will send automatically. You can also send one-off messages to any contact directly from the SMS tab.
Use these placeholders in any email or SMS body — they are replaced with real data at send time:
  • {first_name} — contact's first name
  • {agent_name} — your name from your profile
  • {property_address} — the relevant property address
  • {booking_link} — your calendar booking page URL
If a contact replies STOP, UNSUBSCRIBE, QUIT, CANCEL, or END, NurtureFlow automatically marks them as opted out. Opted-out contacts will never receive SMS messages, regardless of sequence enrollment. You can see opt-out status in the contact's profile.
Emails are sent as plain-text-style messages — clean and personal, which tends to get better open rates than heavily formatted HTML newsletters. You can add line breaks for paragraphs. Merge fields work in both subject lines and message bodies.

Lead Scoring

Lead scoring classifies each contact as Hot, Warm, or Cold based on engagement signals like recency, follow-up completion rate, and response patterns. Hot leads have strong recent engagement; cold leads haven't responded in a while. Scores update automatically every 4 hours.
Scores refresh automatically every 4 hours in the background. You can also trigger a manual rescore from the Contacts tab — it runs within seconds and immediately re-sorts your contact list by score.
Yes. If you have your agent phone number set in your profile, NurtureFlow sends you an SMS alert when a contact transitions from Warm to Hot. The alert includes the contact's name and the recommended next action.

Calendar Booking

Open the Calendar tab (📅) and click Set Availability. Choose which days you're available, your start/end times, and how long each appointment slot should be. Your booking page is instantly live at /book/your-slug. Share this link in follow-up messages using the {booking_link} merge field.
Yes. Every booking confirmation email includes unique cancel and reschedule links that work without requiring the lead to log in. Cancelled and rescheduled bookings appear in your Calendar tab with their updated status.
In the Calendar tab, click Block Time to mark specific dates or time ranges as unavailable. Blocked times override your regular availability — leads won't be able to book during those windows.

AI Ad Creative

The Ad Creator (📢 tab) uses AI to generate professional Meta (Facebook and Instagram) ad copy in seconds. Fill in basic property or campaign details, choose an ad type, and get a complete headline, primary text, and call-to-action. Ad types include: Just Listed, Open House, Buyer Lead Gen, Home Valuation, and Seller Lead Gen.
Yes. Click the star icon on any generated ad to save it as a favorite. Your saved ads appear in the Saved Ads section of the Ad Creator tab. You can copy the copy at any time for use in Facebook Ads Manager or any other platform.

ROI Analytics

Visit /analytics to see your performance metrics: total follow-ups sent, email send rate, SMS delivery rate, follow-up completion percentage, contacts by lead type, and projected revenue based on your close rate assumptions. It updates automatically as follow-ups are sent.
The ROI Calculator lets you input your average commission, estimated close rate, and number of leads to project how much revenue your follow-up system could generate. It's a planning tool — adjust the sliders to model different scenarios.

Within 30 days of subscribing, click the Refund button in the top navigation bar of your dashboard. For cancellations outside the refund window, email support@nurtureflow.com. Cancellations take effect immediately.
